Regional Sales & Office Administrator (m/f) based in Gothenburg

The objective of this position is to support the Regional Manager in day-to-day sales activities such as managing incoming calls from existing and prospective customers, order generation, and reporting. The tasks will encompass support to the service function and where necessary, taking care of general office activities and some ad hoc tasks.

Your Responsibilities

  • Sales Support
  • Manage the  contact database: follow up enquiries and provide qualified leads by using our CRM Software
  • Maintain current pricelists
  • Assist with quotes for service, systems, powder and spare parts
  • Process incoming orders (e.g. for spare parts, powder, systems, services) and issue correlating internal orders to EOS GmbH, and invoicing to customer
  • Booking and invoicing of service reports 
  • Collect outstanding debts in cooperation with accountant
  • Assist with shipping and deliveries if needed

General Office Activities
  • Coordination of schedules, meeting setup and agendas, preparation of correspondence for signature and communications with the parent company in Germany and travel booking
  • Support the Regional Manager
  • Manage phones, faxes, postage, email and mail
  • Manage office supplies and general care of the office
  • Money transfers in cooperation with the accountant
  • Report to the headquarters 
  • Special projects upon request

Your Background

  • Minimum 2 years working experience in a sales function, administrative function or in a similar environment
  • Experience with a CRM database, ERP system and proficient with Microsoft software (Word, Excel, Power Point)
  • Strong written and verbal skills, excellent telephone skills
  • Good command of the Swedish and English languages; spoken and written
  • Highly responsible and reliable with ability to prioritize workload and to complete assignments  accurately and on a timely basis
  • Able to work under time pressure
  • Team player with good communication skills and networking ability, internally and externally
  • Motivated to take over new tasks, adapt quickly and work independently
